Travel Policy
Athletes should plan to travel with their state/provincial team or an approved alternative Hershey team, if requested for personal reasons by the parent/guardian. The state/provincial chair must have the alternative option approved by their respective Regional Coordinator and Hershey's Track & Field Games Manager. If approved, air travel will be covered by The Hershey Company. It will be the parent/guardian responsibility and expense to get the athlete to designated alternative airport.
There may be situations where a participant would be required to fly unchaperoned to meet his/her team at a designated chaperone meeting point/airport due to logistical reasons. Parent/guardian will have approved such situations by signing the Parent/Guardian Consent Form and returning it to Hershey's Track & Field Games office prior to the North American Final. A parent/guardian (at their expense) may choose to travel with the participant to the North American Final in Hershey, Pennsylvania or to a connecting team flight in order to meet a Hershey's Track & Field Games chaperone.
If parent/guardian chooses to drive the athlete to Hershey (with approval), the cost will be covered by the parent/guardian. Time arrivals must be coordinated with the respective state/provincial chair/chaperone for meeting the athlete upon their arrival to the Elizabethtown College on Thursday and must arrive by 4:00 p.m. No exceptions will be made to the designated day of arrival.
Parents may sign children out at Elizabethtown College after the North American Final Celebration Saturday evening. If checked out at this time, parents are responsible for the return trip travel expenses.
Canadian participants and chaperones must have current passports (personal expense). Parents are advised to keep a record of the passport registration number in case the passport becomes lost. For detailed information please go to our section on Canadian Passport Requirements.
